Using Candidate Stages in Honeit Projects

Candidate Stages help you organize and track where each candidate is in your hiring process, right inside your Honeit projects.​

The default stages in Honeit are New, Scheduled, Screened, Submitted, Interviewing, Offer, Hired, or Declined. You can change these to match the stages you already use in your CRM or ATS.

Creating and Using Projects

If you haven’t already, start by creating a new Project. Your project acts as a central hub for all related candidates and interviews.​

🧩 Understanding Project 'Contacts' and 'Calls'

Each Honeit Project helps you organize everything related to a specific role or hiring initiative. Within every project, there are two key components: Contacts and Calls.

👥 Contacts

A Contact represents a person (a candidate, hiring manager, or anyone you’re connecting with).

  • Contacts can be added to multiple projects.

  • This is useful if the same candidate is being considered for more than one role.

📞 Calls

A Call is a specific interview or conversation recording.

  • Each call can belong to only one project.

  • This ensures every interview is tracked under the correct role.


How contacts and calls are automatically linked to a project

Every project has a unique scheduling link. When you use Project Scheduling Links, Honeit automatically associates the contact and their subsequent call to that project.

  • You send the project scheduling link to a candidate.

  • They book a time with you.

  • The candidate (contact) is automatically added to the project.

  • The scheduled call is automatically linked to the same project once it’s completed.

💡No manual setup required, everything is synced automatically.


Manually adding contacts and calls to a Project

If a call was NOT scheduled through the Project Scheduling Link, you can still associate it manually by:

  1. Adding a Contact to a project.

  2. Adding a Call to a project.

  3. Adding both a Contact and their Call to a project.

👥 Adding contacts to a project:

  • Open your Project and click on the Contacts tab.

  • Click the Add Contact button.

  • In the pop-up window, choose one of the following:

    • Add Existing – search by name or email to add an existing contact.

    • Create New – add a new contact from scratch.

  • Click Add to include the contact in the project.

💡Adding a contact does not automatically link their call to the project, you’ll need to add it separately under the Calls tab.

📞 Adding calls to a project:

  1. Open your Project and click the Calls tab.

  2. Click the Add Call button.

  3. Use the date filters to find the call you want to add.

  4. Click the + button next to the call to associate it with your project.

💡 Each call can only belong to one project. Once it’s added, it will appear under the Calls tab for that project.

💡 Pro Tip: After you add a contact to a Project, you can click their phone number to place a direct call from Honeit. Once the call is completed, it will automatically be logged and associated with that Project.

👥📞 Adding both the contact and their call to a project:

If you’ve already completed a call with a candidate who isn’t yet linked to a Project, you can easily associate both the call and the contact afterward.

  1. Go to your Calls page and open the completed call.

  2. In the call details, find the Project field and click edit.

  3. In the Assign to Project window:

    • Search for the project name or select New Project to create one.

    • Choose 'Assign Contact & Call.'

  4. This will add the call and contact to the selected Project.


Assigning candidate stages

Once a contact is added to your project, you can assign them a stage.

The default stages in Honeit are New, Scheduled, Screened, Submitted, Interviewing, Offer, Hired, or Declined unless your account is configured differently.

  1. Open your Project and click the Contacts tab.

  2. Find the contact you want to update.

  3. Click the Stage dropdown next to their name.

  4. Select the appropriate stage — New, Scheduled, Screened, Submitted, Interviewing, Offer, Hired, or Declined.

💡 Stages are updated manually and help your team track each candidate’s progress through the hiring process. *New is the default field for all new contacts.


Adding and viewing notes for contacts

Adding notes helps you keep track of updates, conversations and follow-ups for each contact. It gives your team quick context so everyone stays aligned and knows the latest status without digging through emails or messages.

To leave a note for a contact, either click the small edit icon beside the activity line or open the three-dot menu and choose Add Notes.


How to edit candidate stages

The default stages in Honeit are New, Scheduled, Screened, Submitted, Interviewing, Offer, Hired, or Declined. You can change these to match the stages you already use in your CRM or ATS.

Admins can manage candidate stages across your team, and they can also grant permission for individual users to make edits.

Who can edit stages:
Only Admins can add, edit, or rename stages for your team unless they’ve given you permission to do so. If you don’t see the ⚙️ gear icon next to your stage tabs, please contact your account administrator to update stages or grant you access.

Editing stages in a project (if you have permission):
Each project can have its own set of stages. To make edits:

  1. Go to your Project page.

  2. Click the ⚙️ gear icon next to your stage tabs (see image below).

  3. Add, edit, or rename stages as needed.

Projects will use default stages unless customized by an admin.

Q. Can I change candidate stages?
Only Admins can add, edit, or rename stages for your team unless they’ve given you permission to do so. If you don’t see the ⚙️ gear icon to edit stages, please contact your account administrator to make changes or grant you access.

Q. Can I have different stages for different projects?
Yes! Each project can have its own set of stages. By default, all projects start with the same stages, but if your admin has given you permission, you can customize them. Simply click the ⚙️ gear icon in your project to add, edit, or rename stages.

Q. I don't use projects, can I still use candidate stages?

At this time, candidate stages are limited to projects.
