How to schedule Honeit to join your external video calls

Sometimes interviews need to happen on Zoom, Teams, or Google Meet.

Now with Honeit’s Notetaker, you don’t have to miss out on automation. Honeit can silently join your existing video calls, capturing transcripts, questions and audio highlights behind the scenes.

While it’s not meant to replace Honeit’s full interview experience, it offers a flexible way to stay productive when using other platforms.

⭐ The Notetaker can be used for any type of call; team meetings, group discussions, or one-on-one interviews. However, if you want to create a candidate presentation from a one-on-one interview, using a call guide is essential. The guide keeps the conversation structured so Honeit can automatically extract audio highlights. Without a call guide, the Notetaker will still capture a transcript and provide a call summary, but no automatic audio clips will be created. You can always add clips manually afterwards, but they won’t be tied to structured Q&A.

How to Schedule Honeit to Join Your External Video Calls

  • ⭐ Your call must already be scheduled through an external platform like Zoom, MS Teams or Google Meet.

  • Copy the unique meeting link for the call. These can be found in your calendar invitation. For example, you'll see "Join the meeting," followed by a URL such as meet.google.com/xcr-xkix-xgx. Copy that URL.

  • Navigate to your Honeit dashboard and click "Schedule a Call."

  • Enter the candidate or guest’s name and email address that will be joining you on this call. This will associate the recording and highlights that will generated with a contact in your Honeit account.

  • Select the same date and time as your scheduled Zoom/Meet/Teams call.
    If that time is already marked as busy on your calendar, check the box to ignore calendar conflicts so you can schedule it anyway.

  • Go to Call Options and click on Meeting Provider.

  • Choose the provider of your meeting (Meet, Teams, Zoom).

  • Paste the meeting link in the field that appears.

  • Check "Skip Honeit confirmation emails" if your guest has already received the meeting invitation from Zoom, Meet or Teams. This prevents sending an extra confirmation from Honeit which could cause confusion. Recommended if you’re certain the guest already has the meeting details.

  • Add a call guide. This helps the Honeit notetaker identify key moments during the call and generate relevant audio highlights for the candidate presentation.

  • Click Schedule.

​You will now see the call scheduled on your Honeit dashboard.


Joining and Conducting Calls with Honeit Notetaker

Once you've added your Zoom/Meet/Teams call to Honeit, join the call as you normally would. The notetaker will join the call at the exact start time.

You will need to Click "Admit" or "Approve" to let Honeit Notetaker join and record your call. Please note, Honeit will only record the audio portion of the call, no video will be recorded by Honeit.

If you plan to create a candidate presentation from your call, be sure to use a call guide.

⭐ While the guide will NOT appear in Zoom, Google Meet or Teams, you can keep it open in another tab and follow it during the conversation. This ensures Honeit can automatically extract the right highlights so you won’t have to sort through the call manually afterwards.

After Your Call: Reviewing and Creating Presentations.

Once your call has been processed, it will appear under completed calls in your Honeit dashboard with a note showing it was hosted on an external platform (such as Zoom, Google Meet or Microsoft Teams).

If you used a call guide during the conversation, the questions and answers will be automatically extracted for you along with a full call summary.

You can easily turn this into a candidate presentation or extract additional audio highlights as needed.

Frequently Asked Questions

Q. I scheduled the call with the wrong link, can I change it in Honeit?
If a call was scheduled with the wrong interview link, it cannot be edited in Honeit. You’ll need to cancel the call and reschedule it with the correct link.

Q. What if I don't use a call guide?
You can still run the Notetaker without a call guide, but you’ll need to manually select audio highlights if you want to create a presentation afterwards. A call guide helps Honeit automatically detect key moments and generate structured Q&A for you.

Q. Does the Notetaker join calls with multiple parties?
Yes. The Notetaker can join calls with multiple participants.

Q. Will participants see or be notified that the Notetaker is recording?
Yes. In most platforms, the Notetaker will appear as a meeting participant named “Honeit Notetaker” and a recording notification will be shown according to the platform’s rules.

Q. Does the Notetaker record video as well?
No. Honeit records audio only.

Q. Can the Notetaker join calls automatically without me admitting it?
No. For security and privacy reasons, you’ll need to manually admit or approve the Notetaker when it joins the meeting.

Q. What happens if my call runs longer than scheduled?
The Notetaker will continue recording until the meeting ends, even if it runs past the scheduled time.

Q. Can I use the Notetaker for internal team meetings?
Yes. You can schedule the Notetaker for any Zoom, Teams, or Meet call including internal discussions, client meetings, or candidate interviews.

Q. Can I have the Notetaker automatically join all my calls without scheduling each one?
No, Honeit’s Notetaker needs to be scheduled for each call you want recorded. This is intentional.

  • Privacy & consent: Not every call should be recorded and many platforms require participants to know when a recording is happening. Scheduling ensures you only capture calls where recording is appropriate and allowed.

  • Accuracy: Scheduling lets you link the recording to the right contact in Honeit, use the right call guide and keep your transcripts and highlights organized.

  • Control: You decide which calls get recorded, avoiding unnecessary transcripts, data storage and clutter in your dashboard.

While some other tools allow “always-on” recording, Honeit prioritizes structured, compliant recordings tied to specific people and purposes.
